By registering for, purchasing a ticket for, or attending the Event, you agree to these Terms & Conditions.


1) Tickets, registration and entry

1.1 Tickets may be free or paid and are valid only for the Event stated.
1.2 You may be required to show your ticket/confirmation and photo ID to enter.
1.3 We may refuse entry or remove anyone for safety, security, capacity, misuse of tickets, or inappropriate behaviour.


2) No refunds for attendee cancellation

2.1 If you cancel or cannot attend for any reason, no refunds will be given. This includes (without limitation) illness, travel disruption, work commitments, weather, or personal circumstances.
2.2 No-shows are not refundable.
2.3 If tickets are issued via a third-party platform (e.g., Eventbrite), booking/transaction fees (if any) are also non-refundable.


3) Event changes, postponement or cancellation by the organiser

3.1 We may make reasonable changes to the Event (including timings, speakers, agenda, exhibitor line-up, and layout).
3.2 If the Event is postponed, your ticket will remain valid for the new date unless we state otherwise.
3.3 If the Event is cancelled by us, we will communicate the position on paid tickets at that time.


4) Sharing your details with exhibitors

4.1 By registering for the Event, you consent to us sharing your registration details with Event exhibitors and sponsors for the purpose of networking, lead follow-up, and providing information about their products/services.
4.2 The details shared may include: your name, business name, job title, email address, phone number, and any other information you submit during registration (as applicable).
4.3 Exhibitors/sponsors may contact you after the Event by email, phone, or other reasonable methods using the details provided.
4.4 Exhibitors and sponsors are independent organisations and will act as separate data controllers for your information once shared. Their communications and privacy practices are governed by their own policies.


5) Photography, video and recording

5.1 We may take photographs/video/audio at the Event for marketing and promotional purposes.
5.2 By attending, you consent to being recorded unless you notify us in writing before the Event and follow any opt-out process at registration (where reasonably practical).
5.3 Attendees may take casual photos for personal use but must not record full talks or capture confidential exhibitor material without permission.


6) Code of conduct

6.1 The Event is a professional environment. Harassment, discrimination, intimidation, abuse, disruption, or unsafe behaviour will not be tolerated.
6.2 We may remove any attendee breaching this section without refund (where relevant).


7) Liability and personal property

7.1 You attend at your own risk and are responsible for your belongings.
7.2 We are not liable for indirect losses or issues arising from exhibitor products/services or third-party actions.
7.3 Nothing limits liability for death/personal injury caused by negligence or other liability that cannot be excluded by law.


8) Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

By booking a stand, attending, or exhibiting at the Event, you agree to these Terms & Conditions.


1) Booking, acceptance and payment

1.1 A booking is confirmed only when we issue written confirmation and (where applicable) the required payment/deposit has been received.
1.2 Stand fees and any add-ons must be paid by the due date on your invoice/booking confirmation. Late payment may result in loss of your space.
1.3 Pricing (VAT): All prices are in GBP and no VAT will be added, as the organiser is not VAT registered. We cannot provide VAT invoices.
1.4 You must ensure your booking details (company name, contact name, email, stand name) are accurate, as we may use these for exhibitor lists, signage, and promotion.


2) Cancellations, refunds and non-attendance

2.1 If you cancel your booking for any reason, no refunds will be issued unless we agree otherwise in writing.
2.2 If you do not attend, arrive late, or leave early without permission, no refund is payable and we may reallocate the stand space.
2.3 If the Event is postponed, your booking will normally transfer to the new date. If the Event is cancelled by us, we will communicate the position at the time (e.g., transfer/credit).
2.4 We are not liable for any costs you incur in relation to exhibiting (including travel, accommodation, staffing, printing, stand build, courier costs, or lost revenue).


3) Stand allocation, space and suitability

3.1 Stand locations are allocated by us. We may alter locations or layout for operational, safety, or venue reasons.
3.2 You must remain within your allocated space and must not obstruct aisles, emergency exits, fire points, neighbouring stands, or walkways.
3.3 You may not sub-let, share, or transfer your stand to another party without our prior written approval.
3.4 You are responsible for ensuring your products/services are suitable, lawful, and appropriately described.


4) Set-up, opening hours and staffing

4.1 You must comply with set-up and access times provided in the Exhibitor Pack (or as instructed by us/venue staff on the day).
4.2 Your stand must be fully set up and presentable by the time stated in the Exhibitor Pack and must remain staffed and operational during Event opening hours.
4.3 You must keep your stand tidy and safe throughout the Event, including managing cables, trip hazards, and stock safely.


5) No pack-down before 3pm

5.1 You must not start packing down, dismantling, removing items/stock, or vacating your stand before 15:00 (3pm).
5.2 The only exception is where we (the organisers) explicitly instruct you to pack down early, for example due to venue requirements, safety issues, emergencies, or operational changes.
5.3 Packing down early without permission may result in (at our discretion) refusal of future bookings and/or removal from Event marketing materials.


6) Health & safety and venue rules

6.1 You must comply with all Venue rules, health & safety requirements, and any reasonable instructions given by us or Venue staff.
6.2 You must not block emergency exits or access to fire equipment/alarms/first aid points.
6.3 All displays, banners, and structures must be stable, safe, and suitable for indoor use (unless agreed otherwise).
6.4 Electrical equipment must be safe and used responsibly. Where required, you should ensure items are PAT tested. Cables must be secured to prevent trip hazards.
6.5 Any accidents, hazards, or near-misses must be reported to us immediately.


7) Insurance, risk and liability

7.1 You must hold appropriate insurance for exhibiting. We recommend, as a minimum, Public Liability Insurance of £2,000,000 (or any higher amount required by the Venue).
7.2 You are responsible for your property (equipment, stock, displays, personal items). We accept no liability for loss, theft, or damage.
7.3 You are responsible for any damage you (or your staff/contractors) cause to the Venue, the Event space, or third-party property.
7.4 Nothing in these Terms limits liability for death/personal injury caused by negligence or any liability that cannot be excluded under law.


8) Conduct and professional behaviour

8.1 You and your staff must behave professionally and respectfully towards attendees, other exhibitors, and Event/Venue staff.
8.2 Harassment, discrimination, intimidation, aggressive behaviour, unsafe conduct, or repeated disruption may result in removal from the Event without refund.


9) Promotions, selling and distribution

9.1 Sales and lead generation are permitted unless otherwise stated in the Exhibitor Pack or Venue rules.
9.2 Any promotional activity must remain within your stand area unless you have written approval.
9.3 Loud audio, amplified sound, demonstrations, or activities likely to cause disruption require prior approval.
9.4 You must not place materials in aisles, at entrances/exits, or on other exhibitors’ stands.


10) Data protection and lead capture (UK GDPR)

10.1 If you collect personal data at the Event (e.g., via QR codes, forms, business cards, raffles, badge scanning), you must comply with UK GDPR and the Data Protection Act 2018.
10.2 You must make it clear what you will use the data for and provide (or direct people to) your privacy information where appropriate.
10.3 You must not sell, rent, or share attendee data with third parties without a lawful basis and appropriate notice/consent.
10.4 You must honour unsubscribe/opt-out requests promptly.


11) Photography and filming

11.1 We may photograph and/or film the Event, including your stand, for marketing, promotional, and PR purposes.
11.2 If you plan professional filming/photography at your stand involving large equipment or filming beyond your stand area, please obtain approval in advance and ensure you respect attendee privacy and Venue rules.


12) Prohibited items and activities

12.1 You must not bring illegal items, dangerous/hazardous materials (unless approved), or anything that could present a safety risk.
12.2 We reserve the right to require removal of any items, signage, or activity we reasonably consider unsafe, unlawful, or inappropriate for the Event.


13) Force majeure

We are not responsible for delays, changes, or cancellation caused by circumstances beyond our reasonable control (including severe weather, venue closure, public health restrictions, power outages, strikes, or emergencies).


14) Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
